Decide what one knowledge base holds
One knowledge base should hold one body of knowledge, such as a project, a topic, or one set of client material. Name it so you can recognize it. If a public template is close, load it and then change it. If none is close, start blank and describe the kinds of sources and how you want to view them.
Organize sources into it
Organizing sources is the first step: bring scattered notes, files, and pages together. Ask AI to read the material you provide and write it into the knowledge base. In dev mode, check data storage and files to confirm it was saved.
When you need to check a web page, open the source in the built-in browser and ask AI to write back only what should be kept.
Update the same knowledge base later
Continue in a session of the same knowledge base and say what is new or outdated. AI changes the existing interface, data, and files. You read the result in the render view. If the structure is wrong, adjust it in dev mode instead of starting a new chat that repeats the whole background.
Split unrelated bodies of knowledge into separate workspaces and search them in the workspace list.

No. Organizing sources is how material gets into the knowledge base. Knowledge management is the ongoing use of that material in the same structure.
Where is the material stored?
In the workspace's data and files. Dev mode can show data storage and files. The field names depend on that workspace's structure.
Can a scheduled task do this?
Yes, after AI can already do the organizing reliably. Then create one scheduled task to repeat it.
Can I import a folder of PDFs?
